Records
Create and manage data entries within your objects
Overview
Records are individual data entries within an object. If objects are like database tables, records are the rows—each record contains values for the attributes defined on its object.
For example, a "People" object might have records like "John Doe", "Jane Smith", and "Alex Johnson", each with their own email, phone number, and other attribute values.
Viewing Records
Navigate to any object in the sidebar to see its records displayed in a table view. The table shows:
- Columns for each attribute
- Creation and update timestamps
- Quick actions for each record
You can customize which columns are visible and their order.
Creating Records
- Navigate to the object where you want to add a record
- Click Add [Object Name] (e.g., "Add Person")
- Fill in the attribute values
- Click Save
Required fields are marked and must be completed before saving.
Editing Records
- Click on any record in the table to open its detail view
- Modify the attribute values as needed
- Click Save to apply changes
Changes are saved immediately and trigger any associated workflows.
Deleting Records
Single Record
- Open the record detail view
- Click the Delete button
- Confirm the deletion
Bulk Delete
- Select multiple records using the checkboxes
- Click Delete Selected in the toolbar
- Confirm the deletion
When a record is deleted, all references to it from other records are automatically cleaned up.
Bulk Operations
Bulk Import
Import multiple records at once from a CSV file:
- Click Import in the toolbar
- Upload your CSV file
- Map CSV columns to object attributes
- Preview the data and review any validation errors
- Click Import to create the records
The importer validates data types, required fields, and unique constraints before importing.
Bulk Export
Export records to CSV for use in external tools:
- Optionally select specific records, or export all
- Click Export in the toolbar
- Choose which attributes to include
- Download the CSV file
Reference Fields
Reference fields create relationships between records in different objects. For example, a Deal record might have a "Contact" reference field that links to a Person record.
Setting References
When editing a record with a reference field:
- Click the reference field
- Search for the target record
- Select it from the dropdown
Viewing Related Records
Click on a reference field value to navigate directly to the linked record.
Activities
Records can have linked activities such as:
- Notes - Text notes about the record
- Meetings - Scheduled meetings related to the record
- Tasks - Action items associated with the record
Access activities from the record detail view under the Activities tab.
Workflow Integration
Record operations automatically trigger workflow events:
- Record Created - When a new record is added
- Record Updated - When any attribute is modified
- Record Deleted - When a record is removed
Use these events to automate actions like sending emails, creating activities, or updating related records.
